Calendar Overview
The calendar shows all your events, meetings, and scheduled tasks. It syncs with Google Calendar, Outlook Calendar, and Apple iCloud.
Steps
- Go to Calendar from the sidebar.
- Click any time slot to create a new event.
- Drag events to reschedule them.
- Set a repeat on an event: Daily, Every weekday (Mon–Fri), Weekly, Every 2 weeks, or Monthly — with an optional "until" end date.
- Toggle between day, week, and month views.
- Connect your external calendar under Settings > Communications > Connected Accounts (Google, Microsoft 365, Apple iCloud, Calendly).
Good to know
- Scheduling a meeting from a contact (Quick Actions > Schedule Meeting) shows the contact as a guest chip. Leave it to send them an invite, or remove it and no invite is sent — CRMown never adds guests you can't see.
- If an event could not be added to your Google or Outlook calendar, it shows a "Not synced" banner with the reason and a Retry button.
- Events linked to contacts appear in the contact's activity timeline.
- Color-coded events help distinguish personal vs. business calendars.
- The "Every weekday (Mon–Fri)" repeat creates an instance only on weekdays — useful for daily standups or office hours.
- Sync is now two-way: events you create in CRMown are also pushed to your connected Google/Outlook calendar (with recurrence), and a connected calendar must be active under Settings > Communications > Connected Accounts for the push to happen.
Example: A solo consultant connects her Google Calendar — every client meeting (color-coded teal) and personal block (color-coded gray) shows up in CRMown's Calendar view alongside CRM-native events like discovery calls created by leads through her booking page. One pane of glass for "what does my Tuesday look like".
Troubleshooting
Google Calendar events not showing
Calendar sync not enabled, the sync hasn't run yet, or events are on a different Google calendar (not the primary).
Fix: Settings > Communications > Connected Accounts. Verify the Calendar toggle is on (not "never"). Click Sync Now. CRMown syncs the primary calendar only.
Events showing at wrong time
Timezone mismatch between CRMown and Google Calendar.
Fix: Settings > Account > Timezone — make sure it matches your Google Calendar timezone. Events are stored in UTC and displayed in your local timezone.
An old event from months ago, or one scheduled far in the future, is missing
Not a bug — the sync window is the past 30 days through the next 90 days from today. Anything outside that window is intentionally skipped to keep syncs fast and respect provider rate limits. The window slides forward each day as the background worker runs, so events naturally come into range as time passes.
Fix: If you need to see something outside the window, open it in Google Calendar / Outlook directly. To force a fresh pull within the window, click Sync Now in Settings > Communications > Connected Accounts — that drops the cached delta and re-fetches the full -30/+90 day range.
A new external event I just created in Google/Outlook isn't showing after Sync Now
The background sync runs incrementally, and occasionally a delta drops a single event before we can show it. Sync Now now bypasses the cached delta and does a fresh window pull.
Fix: Click Sync Now once and wait ~5 seconds. If it still doesn't appear, the event is probably outside the -30/+90 day window or on a non-primary calendar.
Two events at the same time look like they're on top of each other
Fixed — overlapping events now split into side-by-side lanes in week and day view (Google Calendar style). If you still see stacking, hard-refresh the page to pick up the new layout.
Fix: Hard refresh (Cmd/Ctrl+Shift+R). Older browser tabs may still be running the pre-fix bundle.
A meeting I declined in Google/Outlook still shows in CRMown as a normal event
Older sync logic only removed events marked cancelled on the organizer's side; it didn't detect events the connected user had personally declined. Those rendered with a strikethrough in Google/Outlook but came through as active events in CRMown.
Fix: Fixed — on the next sync, events where your own attendee response is "declined" are treated the same as cancelled and removed from CRMown. Click Sync Now in Connected Accounts if you want the cleanup to happen immediately, or wait for the background cycle.
A meeting I declined came back after Sync Now
Your own response status must be exactly "declined" on the provider side — "maybe" / "tentative" / "needs action" all still count as attending and stay in CRMown.
Fix: Open the event in Google Calendar or Outlook and change your response to Declined (not Maybe). Sync Now once more.
Error messages
The end time must be after the start time.— The event would end before (or exactly when) it starts. Fix the times and save again — changing the date now moves the end date with it.Not synced to your connected calendar — The event ends before it starts.— An older event was saved with impossible times, so Google/Outlook refused it. Edit the end time; it syncs on the next save or Retry. Not synced — … connection needs reconnecting— Your Google/Outlook connection expired. Reconnect in Settings > Communications > Connected Accounts, then click Retry on the event.Calendar sync failed— Google OAuth token expired. Reconnect in Settings > Communications.Failed to create event— Network error. Refresh and retry.
