Attaching Files, Annotating Screenshots & Emoji in Comm Pro

Send files alongside your Comm Pro messages three ways โ€” the ๐Ÿ“Ž button, pasting a screenshot, or dragging files onto the composer โ€” mark up an image before you send it, drop in emoji from the ๐Ÿ˜Š picker, and mention a teammate loudly (@) or quietly (%). Every attachment link CRMown shows you is a short-lived signed URL that renews automatically each time the conversation loads.

Steps

  1. Attach via the ๐Ÿ“Ž button: click the paperclip in the composer and pick one or more files from your device.
  2. Attach via paste: copy a screenshot (or any image) to your clipboard and press Cmd+V (Mac) / Ctrl+V (Windows) with the composer focused โ€” it appears as a chip immediately.
  3. Attach via drag-and-drop: drag files from Finder/Explorer and drop them anywhere on the message area.
  4. Limits: up to 5 files per message, 10MB each. Allowed types: images (PNG, JPG, GIF, WEBP, HEIC โ€” SVG is blocked since it can carry scripts), PDF, Word/Excel/PowerPoint, TXT, CSV, ZIP, MP3/WAV, MP4/MOV.
  5. Each attached file shows as a chip with an upload progress indicator; if an upload fails, click Retry on the chip, or โœ• to remove it before sending.
  6. Send the message as usual โ€” attachments go out with your typed text, or alone (the message shows as ๐Ÿ“Ž if you didn't type anything).
  7. Image attachments render as inline thumbnails in the chat; click one to view it full size.
  8. To annotate an image before sending: click the โœ๏ธ (Annotate) icon on its chip to open the editor. Tools: arrow, rectangle, text, highlight, blur, and freehand pen โ€” there is no crop tool.
  9. Click Done in the annotation editor to replace the original file with a flattened PNG named "<original-name>-annotated.png".
  10. Click the ๐Ÿ˜Š (Emoji) button to open the emoji picker โ€” search by keyword, pick from your recently-used row, or browse the grid. Clicking an emoji inserts it at your cursor position in the composer.
  11. Type @ to mention someone loudly: a teammate picker opens โ€” pick a name (or keep typing to filter) and it inserts "@Name". A loud mention sends that person a bell notification and a push alert, so reserve it for something they need to see right away.
  12. Type % to mention someone quietly: the same picker opens (typing % instead of @) and inserts "%Name". A quiet mention does NOT send a notification or push alert โ€” the person just sees the message highlighted and their channel gets a mention badge the next time they look, same as a loud mention, minus the interruption.

Good to know

  • The ๐Ÿ“Ž button disables once you've already attached 5 files to the pending message โ€” remove one to attach another.
  • Annotating never mutates the original screenshot on your device; it only replaces the pending chip before send.
  • Recently-used emoji are tracked per user, so your row reflects your own habits, not the whole team's.
  • Use @ for something critical the person needs to act on now; use % for FYI-style mentions ("looping you in", "for your records") where an interruption isn't warranted. Both show up in that channel's Mentions filter and badge โ€” only @ rings the bell.
Example: A support lead pastes a screenshot of a customer error dialog straight into #client-acme, circles the exact button that's broken with the arrow tool, blurs the customer's account number visible in the corner, and hits Done โ€” the teammate on the other end sees exactly what to look at with no sensitive data exposed. Later in the same channel she types "%Alex heads up, we changed the pricing page copy" โ€” Alex isn't interrupted with a push notification, but next time he opens Comm Pro he sees the highlighted mention and a badge on #client-acme.

Troubleshooting

An attachment link in an old message shows "expired" or a 403 error
Attachment URLs are signed and time-limited for security. CRMown re-signs every attachment automatically each time the conversation loads, but a browser tab left open across that expiry window can still be holding a stale (already-expired) link.
Fix: Reload the page (hard-refresh with Cmd+Shift+R / Ctrl+Shift+R if a normal refresh doesn't fix it). The conversation re-fetches with freshly signed URLs.
File won't attach / disappears right after picking it
The file exceeds 10MB, you already have 5 files pending on this message, or its type isn't on the allowlist (e.g. SVG, or an uncommon archive/video format).
Fix: Check the file size and type against the limits, remove a pending attachment if you're at 5, then try again.
Annotate (โœ๏ธ) button doesn't appear on a chip
Annotation only applies to image attachments (PNG/JPG/GIF/WEBP/HEIC) โ€” non-image files like PDFs or spreadsheets don't have an annotate option.
Fix: Nothing to fix โ€” attach the file as-is, or annotate a screenshot separately before uploading it.
I %-mentioned someone but they say they never saw it
That's by design โ€” % is the quiet mention and never sends a notification or push, unlike @. They'll see the highlight and the channel's mention badge next time they open Comm Pro, but nothing pings them proactively.
Fix: If it's actually urgent, send a follow-up message using @ instead so they get notified โ€” editing the original message does not re-trigger a notification, even if you change % to @ in the edit.
