Email Campaigns & Drip Sequences
Send bulk email campaigns or set up automated drip sequences to nurture leads over time.
Steps
- Go to Marketing and select the Campaigns tab.
- Click "+ New Campaign" and choose email campaign or drip sequence.
- Select your target audience (segment, tag, or manual list).
- Design your email using the editor.
- Schedule or send immediately.
- After it sends, the campaign page shows CAMPAIGN RESULTS (sent / opened / clicked / bounced / unsubscribed) above the Recipients list. The Recipients tabs — All, Opened, Clicked, Didn't open, Didn't click, Bounced — say exactly who did what.
- Share or keep the list: on the Recipients row click "🖨 Print / PDF" (choose Save as PDF in the print dialog) or "📥 Export CSV" for a spreadsheet with name, email, company, phone, status and the sent / opened / clicked times. Both cover everyone in the current tab, not just the rows on screen.
- Resend to people who ignored it: click "↻ Resend by email", pick "Didn't open the email", "Didn't click a link" or "Didn't open or click", optionally set "Only people emailed before <date>" to skip a batch that just went out, edit the subject (prefilled "Reminder: …"), then Send now, Schedule, or Save as draft. It creates a SEPARATE campaign against a snapshot of that group, so the original's numbers stay intact and the nudge is measured on its own. Bounced, spam-reported and unsubscribed contacts are always excluded.
Good to know
- Drip sequences send emails on a schedule (e.g., Day 1, Day 3, Day 7).
- Track open rates, click rates, and unsubscribes in the campaign analytics.
- Bulk campaigns + drips include the branded template + CAN-SPAM unsubscribe footer; 1:1 sends from Conversations / AI command bar use a lightweight conversational template instead.
Example: A B2B SaaS launches a 5-step trial nurture drip targeting the segment "Trial users — day 0". Day 1 = welcome + quick-win video, Day 3 = top-3 use cases, Day 7 = customer story, Day 11 = upgrade CTA, Day 14 = "your trial ends in 24h" reminder. Trial-to-paid conversion goes from 11% to 19% in the first quarter.
Troubleshooting
Campaign emails not sending
No segment selected, the connected email account hit its daily send limit, or the campaign is in "Draft" status.
Fix: Verify the campaign has a segment with contacts and the status is "Sending" (not "Draft"). Gmail daily limits: 500/day Workspace, 100/day free. For higher volume, use a dedicated email service.
Drip or bulk send stalled partway through
CRMown enforces a per-org daily outbound email cap on top of your provider's own limit — Starter 100/day, Pro 500/day, Max 2,000/day (Custom 100K/day). Once you hit the cap the send pauses until the cap resets.
Fix: Wait for the daily reset (midnight UTC) or upgrade the plan. Drip sequences that span a cap boundary resume automatically on the next day — no manual retry needed.
Drip sequence sends in small batches instead of all at once
The drip worker processes up to 100 recipients per cycle (runs every minute). For larger sequences the sends are staggered across cycles to keep provider rate limits happy.
Fix: Working as designed. A 500-recipient drip step takes ~5 minutes to fan out end-to-end, not all at once.
Email template merge tags showing raw {{tags}}
The contact is missing the field referenced by the merge tag.
Fix: Use fallback values: {{firstName|there}} renders as "there" when firstName is empty. Always test-send to yourself before launching.
Error messages
Campaign send failed— Check the error log in the campaign detail. Common causes: email account disconnected, segment empty, or rate limit hit.
Plans
