Follow-ups and cadences

Follow-ups are prewritten emails for the people you meet, sent from your own Gmail or Outlook. On CRMown Free, every new contact with an email gets a fixed set of cadences: a thank-you the next morning, then 1 week, 1 month and 90 days later, plus their birthday (if you have it) and the anniversary of when you met. Each one waits for you to review and send it.

Steps

  1. Open Follow-ups in the sidebar. "Ready" shows follow-ups that are due; "This week" shows what's coming; "Snoozed" shows ones you pushed back.
  2. Click Review on a follow-up to see the email. Edit the subject or text if you like, then click Send — it goes out from your own connected email.
  3. Not now? Click Skip, or snooze it for 3 days or a week.
  4. Click Cadences (top right) to turn each cadence on or off, edit its wording, or switch on Auto-send so it goes out without waiting for you. Merge fields: {first_name}, {event} (where you met) and {my_name}.
  5. On a contact's page, the Follow-ups card lets you add their birthday, turn automatic follow-ups off for just that person, or set a one-off "follow up in N days" with a note.

Good to know

  • When a follow-up is ready you get a notification (and a push on the mobile app). Tapping it opens the follow-up.
  • Up to 20 follow-ups go out per day; the rest wait in Ready until tomorrow.
  • Follow-ups send only through your own email. If your Gmail or Outlook disconnects, they go on hold and you get one reminder to reconnect — they pick up again the next time you open CRMown after reconnecting.
  • People who share their info on your Tap card can add their birthday (month and day). You can share yours on your card too — it's hidden unless you turn it on in your card's edit page.
  • On paid plans, CRMown AI writes the follow-up from what you talked about and where you met; on Free you'll see that version greyed out.

Troubleshooting

Follow-ups show "on hold"
Your Gmail or Outlook isn't connected, or needs reconnecting.
Fix: Reconnect it in Settings > Communications, then reopen Follow-ups — held follow-ups are released.
A contact never got a follow-up
The contact has no email address, automatic follow-ups are off for them, or that cadence is switched off.
Fix: Add an email on the contact, check the Follow-ups card on their page, and check Cadences.
"You can send 20 follow-ups a day"
The daily follow-up limit was reached.
Fix: The follow-up stays in Ready — send it tomorrow.
