Languages & Translation (Multilingual Support)
CRMown supports ten languages across the AI Bar, post-meeting summaries, Comm Pro AI helpers, and on-demand message translation: English, Spanish, Portuguese, French, Mandarin Chinese, Hindi, Arabic, German, Italian, and Tagalog. Each org has a primary language; each user can override it for themselves; and any chat message can be translated on demand without changing what other readers see. The same 10-language list applies everywhere — there is no per-feature language matrix to learn.
Steps
- Set the org default: Settings > Account > Organization > "AI Bar Primary Language" (admin only). Drives every user who hasn't overridden their own. Sits at the bottom of the Organization panel, right under the org timezone.
- Set your personal language: Settings > Account > "Your Language (personal override)" — the dropdown sits directly under your timezone override. Pick "Use org default (xx)" to clear and re-inherit.
- Translate a chat message on demand: hover any message in /dashboard/chat → click the 🌐 globe icon in the action toolbar. The body swaps to the translation; click "Translated to xx · Show original" to flip back.
- Translate a Training article on demand: open Tools > Training. If your effective language is not English, a "View in {language}" button shows in the top-right. Click it once to switch every article you expand into your language; click again to flip back to English.
- AI Agent templates auto-localize: visit Tools > AI Intelligence > AI Agents > "+ New Agent" — every starter template (Lead Follow-Up Nudger, Stale Deal Closer, etc.) shows in your effective language, including the long plain-English description that the agent will use.
- In the AI Bar (Cmd/Ctrl+K) just speak or type in any of the 10 languages — CRMown AI understands and replies in the language you used, regardless of any setting.
Good to know
- Resolution priority: your personal language (User > Account > Your Language) → org primary language (Org > Account > Organization) → English. Your override always beats the org default for AI catch-up summaries, AI compose, smart replies, the default translation target, AI Agent templates, and Training articles.
- AI Bar is special: voice is always responsive to the language you spoke, ignoring your saved override. The override drives summaries / compose / smart replies, not the AI Bar.
- On-demand translation is cached per-message — once anyone translates a message into Spanish, the next user who wants Spanish gets it instantly with zero AI cost. Edits clear the cache.
- Translation is private. The sender has no signal that anyone clicked Translate; readers in the same channel still see the original by default.
- Verbatim quotes in post-meeting summaries are intentionally preserved in the original spoken language so reps can audit them against the recording. The surrounding summary, action items, and follow-up email are still in the org's primary language.
- Meeting transcription is "pinned" to the org primary language — pre-2026-04-29 meetings used auto-detect per audio chunk, which sometimes flip-flopped on quiet stretches. Pinning fixes that. For multilingual meetings, the dominant org language wins.
- The post-meeting follow-up email draft is written in the org's primary language. Set it to Spanish in Settings > Account > Organization if your team writes Spanish emails to customers.
- AI Agent templates and Training articles share a system-wide translation cache — the first user in any Spanish-speaking org pays the one-time AI cost, and every Spanish-speaking org thereafter gets it instantly. Same for the other 8 supported languages.
- Training translations are lazy: the corpus stays English by default. Articles only translate when (a) you toggle "View in {language}" on at the top of /dashboard/training AND (b) you expand an individual article. Search remains English so you can find articles by their original keywords.
- English orgs pay no AI overhead from the localization layer — the language instruction is only sent to CRMown AI when the target is non-English.
Example: A 30-person agency in Miami runs bilingual operations. The OWNER sets Settings > Account > Organization > AI Bar Primary Language to Spanish (most clients are Spanish-speaking) — instantly meeting summaries, Comm Pro catch-up, follow-up email drafts, AI Agent template names + descriptions, and Tools > Training articles all become available in Spanish. Two English-speaking reps each set Settings > Account > Your Language to English so their personal AI helpers stay in English. When an English-speaking rep gets pinged in #cliente-acme, they click 🌐 on the Spanish messages they're catching up on and read translations inline; the rest of the team sees the originals untouched. New Spanish-speaking reps onboarding click "View in Spanish" on Tools > Training and read every article in their language. Zero process changes for English staff, native-language onboarding for Spanish staff.
Troubleshooting
My AI catch-up is still in English even though our org language is Spanish
You probably have a personal override set to English under Settings > Account > Your Language. The personal override beats the org default.
Fix: Settings > Account > Your Language → pick "Use org default (es)" → reload the chat page.
The Translate (🌐) button doesn't do anything when I click it
Either the org doesn't have Comm Pro suite enabled (the route is gated), or the network call to CRMown AI failed (rate limit, AI quota, BYOK key invalid, etc.).
Fix: Verify Comm Pro is active in Settings > Billing. If it is, check Settings > AI Usage for AI quota.
A meeting started in English mid-way switched to Spanish in the transcript
The org's primary language was changed mid-meeting. The transcription engine picks up the language hint at recording start; changing it after recording begins doesn't apply to chunks already uploaded.
Fix: Re-record or end and start a new meeting after changing the org language.
I picked Mandarin in the dropdown but the API returned 400
The locale was not lowercased or sent as the wrong code. Only en/es/pt/fr/zh/hi/ar/de/it/tl are accepted (ISO-639-1).
Fix: The dropdown uses the correct codes — if you hit this calling the API directly, send
locale: "zh" not "zh-CN" or "Mandarin".Translated messages come out empty for short messages
Trivially short or whitespace-only messages skip the round-trip and return empty.
Fix: Expected behavior. A single emoji or a "lol" reaction has nothing meaningful to translate.
I edited my message and now nobody sees the translations they had before
Editing a message clears the entire translations cache — the prior translation no longer matches the new body.
Fix: Expected behavior. Whoever needs the new translation just clicks 🌐 again and the new translation gets cached.
The "View in {language}" button doesn't show on Tools > Training
Your effective language is English. The button only renders when User.locale or Org.primaryLanguage resolves to a non-English code.
Fix: Settings > Account > Your Language → pick a non-English language. Reload /dashboard/training; the button appears in the top-right.
I clicked "View in Spanish" on Training but articles still show in English
Translation is lazy per-article — articles only translate when you expand one in translate mode. The button toggles the *intent*; expanding an article triggers the actual fetch.
Fix: Click an article header to expand it. You'll see "Translating to Spanish…" briefly while the translation is fetched, then the article renders in Spanish. Subsequent expands are instant.
AI Agent template names show in English even though our org language is Spanish
The template list page may have rendered a stale cache before localization fully completed, or the platform AI key was missing/throttled at first request and the fallback returned the English source.
Fix: Refresh the AI Agents > New Agent modal. If still English, check Settings > AI Usage for any quota errors. If everything looks fine, the translation cache will fill on the next page load.
Error messages
Unsupported locale: xx— The locale you sent isn't one of the 10 supported codes (en/es/pt/fr/zh/hi/ar/de/it/tl).Translation failed— The CRMown AI call returned an error or timed out. Retry; if it persists, your AI quota is exhausted or your BYOK key is invalid.
Plans
Org primary language and the AI Bar work on every plan. On-demand message translation and the localized AI helpers (catch-up, compose, smart replies) require the Comm Pro suite (included in Pro and Max). Per-user language override is on every plan.
