Permissions — choose which suites each person sees
Settings > Permissions lets Owners and Admins turn a whole suite on or off for the workspace, limit a person to only the suites they need (a sales rep never sees Marketing or Web Studio), and invite people with a role template that sets their suites and role in one step. Every change is logged on the Audit tab.
Steps
- Open Settings and click the 🔐 Permissions tab (Owners and Admins; it appears once suite access is switched on for your workspace).
- Suites in this workspace: untick a suite to hide it for everyone. A preview shows how many people lose it first. Its data is kept and comes back when you turn it on again.
- People: click Edit next to someone and choose "Only the suites I choose", tick their suites and Save. Owners and Admins always see everything.
- If that person owns records in a suite you remove (campaigns, social posts, sites, events), CRMown asks who takes them over before saving.
- Role templates: built-in Sales rep, Sales manager, Marketer, Support, Finance, Contractor and Admin. Edit them or add your own (+ New template). When inviting someone, pick a template under "Start from a template" — their suites and role are set as the invite goes out.
- Audit tab: every suite switch, access change and template change, with who did it and when.
Good to know
- Turning a suite off removes it completely for that person — sidebar, pages and the AI Bar's actions for it — rather than greying it out.
- A person's suites can only narrow what the workspace has. Granting a suite that isn't on your plan or is switched off does nothing, and CRMown tells you so.
- Contacts and companies belong to the core CRM and stay visible to everyone; this controls the suites, not which records people can see.
Example: A 15-person agency gives its two account managers the Marketer template (Marketing + Web Studio) and the rest of the team the Sales rep template. The sales reps' sidebar no longer shows Marketing, Web Studio or Finance, and the AI Bar won't create invoices for them.
Troubleshooting
No Permissions tab in Settings
Only Owners and Admins see it, and only once suite access is switched on for the workspace.
Fix: Ask an Owner or Admin, or contact support to switch suite access on.
"This person owns … Choose who takes them over"
You removed a suite from someone who owns records in it.
Fix: Pick a teammate in the box that appears, then Save. The records move to them.
A suite you granted doesn't show up for the person
It isn't on your plan or is switched off for the workspace.
Fix: Turn it on under Suites in this workspace, or add it in Settings > Billing.
Plans
Suite access is available on every plan that has suites (Pro and Max); per-team suite grants come with Teams.
