Segments

Dynamic segments automatically group contacts based on criteria (tags, activity, deal stage, etc.).

Steps

  1. Create segments from the Contacts page using filters.
  2. Set filter criteria: tags, last activity, deal stage, location, custom fields, etc.
  3. Save the segment — it auto-refreshes every 15 minutes.
  4. Use segments as audiences for campaigns and automations.

Good to know

  • Segments are dynamic — contacts move in and out as their data changes.
  • Combine multiple criteria for precise targeting.
Example: A SaaS marketer creates a "Trial Day 7+" segment: stage=TRIAL AND createdAt > 7 days ago AND last_login_at > 24h ago. The segment auto-recalculates every 15 min; her drip "Are you stuck? Reply YES for help" auto-enrolls anyone who matches and removes them when they convert or churn. No manual list management.

Troubleshooting

Segment shows 0 contacts but I know there should be matches
Segment rules use AND logic by default (all rules must match). One strict rule can exclude everyone. Deleted contacts are also excluded.
Fix: Edit the segment, simplify to one rule, test. Add rules back one at a time to find which rule is too restrictive.
Contact is in the wrong segment
The contact's data matches the segment rules. Segments are dynamic — they re-evaluate automatically.
Fix: Edit the contact's data so it no longer matches, or edit the segment rules to exclude the contact.

Error messages

  • Failed to apply segment rules — One or more rules has an invalid value. Edit the segment and check each rule for typos or missing values.
