When No One Is Available: Book a Time in the Chat

Instead of leaving a visitor waiting after they ask for a person, the chat offers one of your booking pages so they can pick a time right inside the chat.

Open in CRMown →

Steps

  1. Open Web Studio > Chat Widgets > your widget > Settings and find "When no one is available". Turn on "Offer a booking page when no one can chat" and choose a booking page. A team (round-robin) page books the visitor with whoever is free. Paid booking pages cannot be booked from the chat.
  2. The chat counts as "no one available" when the visitor asks for a person and nobody is online in CRMown (only the escalation channel's members count when one is set), when nobody replies within the minutes you set (default 3), or, with "Treat outside the booking page's hours as unavailable" on, when it is outside the booking page's hours. On a widget with the AI switched off, the first message checks this too.
  3. The visitor sees your message ("Sorry, no one is available…"), picks a day and a time (shown in their own time zone), enters name and email, and books. It goes through your booking page exactly as if they had booked there: live Google/Outlook conflict checks, round-robin, the invitation email, and the contact.
  4. They then see a confirmation card: who they are booked with (photo and name), "You will receive a meeting invitation shortly", the time, the guest email, and a Reschedule link. Reschedule only moves the booking made in that chat, and only to a time the page really has free. Your "Message after they book" follows.
  5. Your team sees the offer, the booking and any reschedule in the chat transcript in Conversations and in the escalation channel thread, and the chat session is marked "meeting booked".
